This Privacy Policy explains the privacy practices governing the types of information collected through the website (www.rootedconnectionscollective.com) (the "Site" or "Website") and the Held mobile/web application (the "App"), owned and operated by Rooted Connections Collective ("Company", "we", "our" or "us"), our use of that information, and your privacy choices and rights.
This Privacy Policy applies to the information we collect from or about you from:
Your use of the Site and/or the App;
Your signing up for a freebie and/or our email list through the Site (the "Email List");
Your creation of an account through the Site or App; and/or
Your use of coaching, consulting, or sleep support services provided by Company, including any information you provide about your child(ren) in connection with those services.
You must read this Privacy Policy carefully because when you use the Site or App, you are consenting to the collection, processing, and retention of your information as described in this Privacy Policy. If you do not agree with any part of this Privacy Policy, you may not use the Site or App.
If you are in the European Economic Area, and you use this site or app, you consent and permit to the transfer of your data from the European Economic Area to the United States only for purposes laid out in this Privacy Policy.
I. Information We Collect
We collect information that falls into three categories: information you voluntarily provide about yourself, information you voluntarily provide about your child(ren) in connection with our services, and information that your computer, mobile phone, tablet, or other device (all referred to as "Device") or browser provides automatically.
A. Information You Voluntarily Provide About Yourself.
When you interact with our Site or App, we, or our service providers (acting on our behalf), collect "Personal Information" — information that relates to you as an identifiable individual — that you intentionally and actively provide to us, such as your first and last name, address, email address, and when necessary, credit card or bank information. We collect this information when you:
Inquire about our Site, App, or services;
Create an account on our Site or App;
Send a communication through our Site or App;
Make a purchase through our Site or App; or
Sign up for an Email List or to receive our newsletter and/or advertisements or marketing emails from us.
We may collect content you make available through social media accounts or memberships with third parties if you choose to create an account using a social media login.
You can always choose not to provide us with information. However, if you do withhold information, we may deny you access to some or all of our website's, app's, or services' features.
Some transactions between you and us may involve payment by credit card, debit card, checks, money orders, and/or third-party online payment services. In such transactions, we will collect information related to the transaction as part of the course of doing business with you, including your billing address, telephone number, and other information related to the transaction.

B. Information You Voluntarily Provide About Your Child(ren).
The Held App and our coaching and consulting services (including sleep consulting, parent coaching, and related support) are designed to help you support your child. To provide these services, we collect information you choose to share about your child(ren), which may include:
Your child's first name and date of birth or age;
Sleep patterns, feeding schedules, and daily routine information;
Developmental, temperament, or behavioral information you share with us;
Health-related information you voluntarily disclose that is relevant to coaching or sleep support (for example, medical diagnoses, conditions, or physician guidance you choose to share with your consultant);
Notes, logs, voice messages, photos, or other content you submit through the App or through direct communication with your consultant regarding your child.
We do not require, and you should not submit, any information about your child beyond what is reasonably necessary for the coaching or consulting service you have engaged us for. You are always in control of what you choose to share about your child, and you may decline to provide any specific piece of information, though this may limit our ability to provide certain services.
Because the App and our services may collect information about children under 13 in the course of a parent or guardian using our services on the child's behalf, please also see Section VI (Minors/Children) below, which describes our practices under the Children's Online Privacy Protection Act ("COPPA") in more detail.
C. Information About You That Is Provided Automatically.
Like most places on the Internet, simply by visiting our Website or using our App you or your Device automatically tell us certain information. This includes basic information such as your IP address, when you visited, the website from where you came prior to visiting us, the website where you go when you leave our website, your computer's operating system, and the type of web browser or app version you are using. Our website and app automatically record this basic information about you.
And like many other websites and apps, we may use cookies, digital fingerprinting (e.g. device, machine, and Internet browser fingerprints), web beacons, click redirects, pixel tags, container tags, and similar technologies. This information can be used to track your session on our website or app and to customize content for you as an individual. When you browse our Site or use our App, we also automatically receive your computer's or device's internet protocol (IP) address as well as other information that helps us learn about your browser, device, and operating system ("Usage Information").

If you download or use the Held App or other mobile software applications ("Mobile Apps") from us, we may know your location. In addition, your Device using our Mobile Apps may provide us information about the device, including its unique identifier, make and model, operating system, mobile network carrier, and your telephone number. Your Device may have the ability to disable location services as well as deny us access to other information described in this paragraph. To learn more, check your Device's user manual and/or contact your mobile device's manufacturer or service carrier.
The Site may also feature social buttons from networks such as Facebook, Twitter, YouTube, Pinterest, and Instagram. To do so we embed code that they provide. We do not control that code ourselves. In order to function, their buttons generally know if you're logged in. We do not have any access to that information, nor can we control how those networks use it.
If you access the Site or App via a mobile app, we use additional identifiers, such as the advertising ID provided by Apple or Android, for similar purposes.
D. Cookies and Other Data Tools.
Cookies
We, and/or our third-party service providers, use cookies (data files placed on a Device when it is used to visit our Site or use our App) and other identifiers to collect Usage Information, for security purposes, to enable you to use the Site and App, to collect information regarding your preferences, to allow you to share content via social media when you are logged in to a particular platform, to deliver relevant advertising to you, and to generally make the Site and App perform better.
For example, we may use a tool called Google Analytics to collect information about visitors' use of this Site. Google Analytics collects information such as how often users visit this Site, how users find the Site, and what pages they visit. We use the information we get from Google Analytics to improve this Site. Although Google Analytics plants a permanent cookie on your web browser to identify you as a unique user the next time you visit this site, the cookie cannot be used by anyone but Google. Remarketing Tags and Pixels
This website may use a remarketing tag to advertise online. This means that Google and other third-party vendors may show our ads to you on sites across the Internet. These third-party vendors, including Google, may use cookies to serve ads to you based upon your past visits to our website.

Web Beacons or Clear GIFs

When you visit our website, you may view advertisements posted on the site by Google or other companies. These advertising companies may collect information about you while you are visiting this website and other websites. They may use this data to show you advertisements on this website and elsewhere on the Internet about products and services you might like.

II. How We Use Your Information and What We Do With It
We use the Personal Information we collect about and from you and your child(ren):
To perform our responsibilities under a contract we have with you. For example:
To communicate with you about changes to the Website or App;
To provide coaching, consulting, or sleep support services, including reviewing your child's sleep, feeding, and routine information to develop and adjust a personalized plan;
If you submit a support ticket or make an inquiry through the Site or App, we will need to use your Personal Information in order to respond or troubleshoot.
When we have a legitimate interest to do so — in other words, when it supports and achieves the aims of the Company. For example:
To prevent fraud and protect the security of our Site and App;
To enforce our Terms of Use;
To communicate updates and improvements;
To develop and optimize our Site and App;
To resolve disputes;
To help us provide and operate the Site and App;
To advertise and market to you, which includes displaying targeted ads, offers and content made available to you based on your interests and usage of the Site;
To analyze the performance of the ads, offers and content on or originating from the Website, as well as your interaction with them; and
To comply with our legal obligations.
With your consent. For example:
We send marketing communications to you only if you consent to receive them; and
We do not share your Personal Information with third parties for their direct marketing purposes without your consent.
As otherwise required by applicable law.
Some government intelligence agencies have the technological ability to access data from our website or app without our cooperation, knowledge, or consent. Even if we were to learn of such access, we may not be able to tell you because of national security laws. Please take this risk into account before supplying information to us.
Although we do not disclose individually identifiable information, we may disclose aggregate, de-identified data about our website's or app's visitors to advertisers or other third parties for marketing and promotional purposes. We do not use information about your child for advertising, marketing, or any purpose other than providing the services you engaged us for.
While we rely on your consent as a legal basis for collecting and processing your information, if you consent to a particular use of your information and you ultimately change your mind, you may withdraw your consent at any time by contacting us at hello@rootedconnectionscollective.com or sending us physical mail at the address below.
If you no longer wish to receive email marketing communications, you may use the unsubscribe tool located at the bottom of that communication. If you withdraw your consent, we will not use your information going forward.
III. How We May Share Your Information
A. Service Providers. We share your Personal Information with other service providers that we have engaged to perform business-related functions for us ("Service Providers"). This includes service providers that:
conduct research and analytics;
create content for Company;
provide customer, technical or operational support;
conduct or support marketing (such as email marketing platforms);
host the Site and App, including our database and backend infrastructure provider, Supabase;
maintain databases;
send or support online advertising;
process payments and/or fulfill purchases;
otherwise support or help us provide the Site, App, or our services.
These Service Providers may use your Personal Information — and, where applicable, information about your child — only to help us perform necessary actions that support the activities listed above. We restrict the way third-party suppliers can use your information. They are not allowed to sell or give your information, or your child's information, to others.
Appointments made through our Site are processed by Calendly, which may collect credit card information and other Personal Information. If you make payment through Calendly, Calendly stores your credit card data, and we do not have access to your full credit card information. B. Consultant Access Within the App. If you work with a Rooted Connections Collective consultant through the Held App, that consultant will have access to the information you and your child's data that is necessary to provide your coaching or sleep consulting services (for example, sleep logs, notes, and messages you submit). Consultants are bound by confidentiality obligations and may only use this information to provide services to you.
C. Business Transfers. We will share your Personal Information, and information about your child, if we are acquired or purchased by, or merge with, another company, or if we otherwise reorganize our business. However, if that happens, any acquirer of that information will be subject to the provisions of our commitments to you in this Privacy Policy.
D. Legal Disclosure or Governmental Request. We may transfer and disclose information, including your Personal Information or information about your child, to third parties to comply with a legal obligation or subpoena, when we believe in good faith that the law requires it, at the request of governmental authorities conducting an investigation, to verify or enforce our Terms of Use, Privacy Policy, or other applicable policies, to respond to an emergency, or otherwise to protect the rights, property, safety, or security of the Site, App, third parties, visitors, or the public.
E. Autoresponders. We may use your information with autoresponders in order to communicate with you by email. To protect your privacy, we use a verified opt-in system for such communications and you can always opt-out of such communications using the links contained in each autoresponder message.
IV. Your Privacy Choices, Rights, and Access
A. In General.
You may always direct us not to share your (or your child's) Personal Information with third parties, not to use it to provide you with information or offers, to delete information we have collected and maintained, or not to send you emails or other communications by:

following the removal or unsubscribe instructions in the communication that you receive.
If you wish to verify, correct, update, or delete any Personal Information (including information about your child) collected through the Site or App, or request access to all information that we have collected and maintain, you may contact us at the email or address included in the Contact Us section below.
B. For Individuals in the European Economic Area
If you are in the European Economic Area, you have certain rights related to the Personal Information we hold about you, including rights of Access, Accuracy/Rectification, Deletion/Erasure, Processing Restriction, Portability, and the right to withdraw consent to marketing. Please contact us using the details in Section XI to exercise these rights.
The Site and App are governed by and operated in accordance with the laws of the United States. If you are located outside the United States, please be aware that information we collect may be transferred to and processed in the United States.
C. Rights of California Residents
California residents are entitled once a year, free of charge, to request and obtain a list of all third parties to whom their personally identifiable information was provided for direct marketing purposes in the preceding calendar year. Company does not disclose any user information to third parties for third-party marketing purposes.
Under the California Consumer Privacy Act ("CCPA"), Company will honor requests from California residents to: (1) know what Personal Information Company has about them; (2) delete their Personal Information; or (3) opt out of the sale of their Personal Information (Company does not sell Personal Information).

D. Brazil Residents
If you reside in Brazil, you may have certain rights under Brazil's LGPD (Law No. 13,709/2018), to the extent it does not conflict with applicable United States law.
V. Links to Other Websites and Voluntary Disclosure to Third Parties
The Site and App may contain links to other websites, maintained by third parties. These links are provided only as a convenience to you. Company has no control over, and is not responsible for, any content, products, services, or privacy practices of third-party sites.
VI. Minors/Children
This section describes how we handle information about children in connection with our coaching, sleep consulting, and the Held App.
Our services and the Held App are designed to be used by parents and legal guardians on behalf of their children. Children do not create their own accounts, and we do not knowingly collect Personal Information directly from a child. All information about a child collected through the App or our services is submitted by a parent or legal guardian.
Because we knowingly collect information about children under 13 through parents and guardians, our practices are governed by the Children's Online Privacy Protection Act ("COPPA"). In accordance with COPPA:
We only collect information about your child that you, as the parent or guardian, voluntarily choose to provide;
We use that information solely to provide the coaching, consulting, or App-based services you have engaged us for;
We do not use your child's information for advertising or marketing purposes, and we do not knowingly disclose your child's information to third parties except as necessary to provide our services (see Section III) or as required by law;
You have the right, at any time, to review the information we have collected about your child, request that it be corrected, or request that it be deleted. To do so, contact us at hello@rootedconnectionscollective.com;
You may also refuse to allow us to collect further information about your child and may request deletion of your child's account and associated data at any time, subject to our obligation to retain certain records as required by law or as necessary for legitimate business purposes (e.g., resolving disputes, complying with legal obligations).
If we learn that a child has attempted to create their own account or has provided us with Personal Information directly and without a parent or guardian's involvement, we will take steps to delete that information and, where possible, notify the parent or guardian.
If you believe we may have collected information from or about a child in a manner inconsistent with this policy, please contact us immediately at hello@rootedconnectionscollective.com.
[Note to Manu: Because Held collects health-related and developmental information about children directly from parents, and because this touches COPPA — a federal law with real enforcement teeth — I'd strongly recommend having an attorney who specializes in children's data privacy review this section specifically before publishing, along with your actual data handling practices (retention periods, deletion procedures, whether any of this data is used to train or improve any AI/algorithmic features in the app, and your Supabase security configuration). This draft describes good-faith practices but a legal review will confirm you're fully compliant.]
VII. Storage of Your Information
We will generally store information — including information about your child — associated with your account until it is no longer necessary to provide services to you, until you ask us to delete it, or until your account is deleted, whichever comes first, subject to exceptions required by law (e.g., compliance, fraud prevention, dispute resolution, fee collection).
VIII. Request to Access or Delete
If we grant your request to access personal data (including data about your child), we will: (1) confirm whether or not we are processing it; (2) provide you with a copy; and (3) provide you with information about how we process such data.
If you request that we delete personal data that we possess, we will do so unless: (1) the data is needed to exercise the right of freedom of expression; (2) we have a legal obligation to keep the data; (3) we must keep the data for reasons of public interest; or (4) the data has been anonymized.
If you were a minor when we collected the personal data, we will delete the data upon request from you or your parent/guardian.
If your request is an objection to processing for direct marketing purposes, we will cease using your data for such purposes.
If we collected personal data based on a contract or your consent, and processed it by automated means, you can request that data be transmitted to another company in a commonly used open format (e.g., CSV, JSON, XML).
Note: If you request that data we maintain about you or your child be deleted, no one — neither us nor you — will be able to recover that information later.
Fees. There is generally no fee for processing your request. We reserve the right to refuse or charge a reasonable fee for requests that are manifestly unfounded or excessive.
Automated Processing. We may make decisions through automated processing (e.g., algorithms) of personal data. Any such automated decision-making is done per your express consent or as necessary for our legitimate interests. To the extent permitted by applicable law, you may have a right to obtain human intervention and contest an automated decision.
IX. Security: We Cannot Guarantee the Security of the Site or App
We take seriously our obligation to safeguard the confidentiality, security, and integrity of personal information collected from our users and about their children. The Site uses an SSL (secure sockets layer) certificate, and the App's backend infrastructure (Supabase) includes industry-standard security measures. We limit access to Personal Information — including information about your child — to those who have a genuine business need to know it (for example, your assigned consultant).
You should be aware, however, that no system is completely secure from hackers and network failure and error, and we cannot guarantee the confidentiality, security, and integrity of information maintained on our Site or App for that reason.
Email is not a secure form of communication. Please do not send us your credit card number, social security number, or other sensitive Personal Information via email.
We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.
X. Changes
We may update and post revisions to this Privacy Policy from time to time and will update the Effective Date when we do so. If our Privacy Policy changes in a way that significantly affects how we handle your Personal Information or your child's information, we will not use the information we currently maintain without providing you notice or obtaining your consent, where appropriate. We encourage you to review this page for the latest information about our privacy practices.
